4. STUDENT & STATISICAL RECORDS
Objectives
4.1. Student Records shall provide an efficient and effective student records service
covering e.g.
• Student enrolment/personal information;
• Student programme(s) of study/curriculum data;
• Information service to assist teaching department;
• Results processing linked to student attainment; and
• The collection and processing of student data required to meet the
needs of the Scottish Funding Council and other contractual
obligations.
4.2. Student Records shall develop and maintain reliable systems and procedures
that underpin the production of student-based performance indicators. It will
also meet the management information and data requirements of:
• Support departments and functions;
• Senior management team;
• The Board of Management; and
• External bodies such as the SQA and Scottish Funding Council
4.3. Student records shall encompass the coordination of the new College's
responsibilities under the Data Protection Act and the Freedom of Information
Act. The student records service shall be the primary holder of the College's
curriculum and student data and will have responsibility for the exchange of
student data with a range of external stakeholders such as the SQA and the
Scottish Funding Council.
4.4. Student Records shall have a primary responsibility for the development and
maintenance of the new College's Student Recruitment Plan, which will be a
key operational planning tool for the College. The Student Recruitment Plan
(SRP) shall:
• Be used to record agreed student enrolment and wSUMs targets;
• Be used by the marketing section to ensure all approved courses are
marketed properly;
• Provide a mechanism to ensure approved courses are priced consistently;
• Be used by the student services team to plan admissions processes;
• Be used by the student records team to plan enrolment and results
processing;
